A meeting room is judged in its first thirty seconds.

If the screen will not wake, the remote participant cannot hear the far end of the table, or nobody can find the right cable, the meeting has already started badly. Most of these problems come from rooms designed around equipment rather than around the people using them.

We design each room from its purpose: how many people, what kinds of meetings, the acoustics and sightlines, and how people will join a call. Then we specify, install, configure and test the system, and we keep the rooms consistent so a user who knows one room knows them all.

How we deliver it

Every project follows the XTSURE Assurance Lifecycle. For this service, it runs in four stages.

  1. Understand the room

    Room size, seating, acoustics, lighting, network points and power, along with how the room will be booked and used.

  2. Design the experience

    Display size and position, camera and microphone coverage, control method and platform choice, documented for each room type.

  3. Install and configure

    Mounting, cabling, room accounts, licensing, device management and network configuration for AV traffic.

  4. Test with real meetings

    Calls tested from every seat, audio levels tuned, and a short user guide placed in the room.

Teams Rooms or Zoom Rooms?

Usually whichever platform most of your meetings run on. Both can join the other platform's calls with some limits. If your organisation uses Microsoft 365 heavily, Teams Rooms tends to be the simpler choice to manage.

Can you fix the audio in an existing room?

Often, yes. Poor audio is commonly a microphone placement or room acoustics problem rather than a faulty device. We assess the room and recommend the smallest change that solves it.

Do AV systems need network planning?

Yes. Modern AV devices sit on the network and need the right VLANs, PoE and, for some systems, multicast support. We plan AV and the network together so rooms work reliably.
